NinjaTrader Not Connecting to Apex Trader Funding Fix Guide
Section 01 · Diagnose first

What your connection status actually means.

NinjaTrader shows three distinct connection states for Apex accounts. Identify which one you have before troubleshooting anything.

Select your current connection status
Yellow connection means NinjaTrader has connected to the platform but the data feed is not streaming. Market data is not flowing. This is the most common Apex issue and is usually a cache problem or wrong server selection. Most likely fix: clear the cache at Documents > NinjaTrader 8 > db > cache and re-add the connection. Also check that your NinjaTrader license key is active in Help > License Management.
Go to Rithmic fixes →
Red / Failed means authentication failed. Login credentials were rejected or the account was not recognised. Most likely cause: you are using your Apex dashboard email and password instead of your separate Rithmic or Tradovate trading credentials. These are different accounts. Also check whether your account has been auto-disabled after 8 days in a failed state.
Go to Apex-specific causes →
Stuck connecting means the connection attempt started but never completes. Usually caused by a firewall blocking NinjaTrader, VPN interference, or an expired NinjaTrader license key. Most likely fix: temporarily disable VPN and antivirus, verify the license key in Help > License Management, and check the Apex server status page for ongoing outages.
Go to server status check →
Section 02 · Apex-specific

Three Apex-specific causes generic guides miss.

Most NinjaTrader troubleshooting guides cover generic broker connection problems. Apex has three specific failure modes those guides never mention. Check these before working through the standard fixes.

Cause 01 You are using the wrong credentials Most common
Your Apex member dashboard login (email and password) is not the same as your Rithmic or Tradovate trading credentials. NinjaTrader requires the trading account credentials, not your dashboard login. Find your Rithmic credentials inside your Apex member dashboard under the account details section for each specific account. If you have multiple accounts (evaluation and PA), each has its own separate Rithmic login. They are not interchangeable.
Cause 02 Your account has been auto-disabled Apex-specific
Apex automatically disables an account and its associated NinjaTrader connection when an evaluation has been in a failed state for 8 or more consecutive days. The full inactivity rules that apply to Performance Accounts are in the Apex minimum trading days guide. The connection goes yellow or stops working with no obvious error message. Log into your Apex dashboard, check the status of every account, and look for any flagged as disabled or requiring a reset. A disabled account cannot connect to NinjaTrader until it is manually reset through the member portal.
Cause 03 Your NinjaTrader license key has lapsed or was never activated Apex-specific
Apex provides a free NinjaTrader license as part of the evaluation purchase. This license must be activated through NinjaTrader's license management system using the key found in your Apex dashboard. If the license key was never activated, or if it lapsed, NinjaTrader may connect partially but fail to stream live data. Check your Apex dashboard for the license key, then verify it is active inside NinjaTrader under Help > License Management.
Section 03 · Rithmic

Rithmic connection fixes: step by step.

Rithmic is the primary data feed for Apex on NinjaTrader. If your connection uses Rithmic, follow these fixes in order.

Fix 01 Clear the NinjaTrader cache Try first

The cache fix resolves the yellow connection in the majority of Apex-related NinjaTrader issues. It is the first fix Apex support recommends in their own help center.

  1. In NinjaTrader, go to Connections and remove the Rithmic connection.
  2. Close NinjaTrader completely.
  3. Open Windows Explorer and navigate to this exact path:
Documents > NinjaTrader 8 > db > cache
  1. Delete the entire cache folder.
  2. Restart NinjaTrader.
  3. Re-add the Rithmic connection using your Apex trading credentials.
  4. Connect and verify the status turns green.
Do not delete any other folders inside the db directory. Only delete the cache subfolder.
Fix 02 Verify the correct Rithmic server for your account type Apex-specific

Apex uses different Rithmic server environments for evaluation accounts and Performance Accounts. Using evaluation credentials on a PA, or vice versa, produces a failed connection with no clear error message.

  1. Log into your Apex member dashboard.
  2. Identify whether the account is an evaluation or a Performance Account.
  3. In NinjaTrader, go to Connections > Configure > Rithmic.
  4. Confirm the server selected matches your account type.
  5. Enter the credentials specific to that account, not credentials from a different account.
Each Apex account, evaluation or PA, has its own separate Rithmic username and password. They are not interchangeable.
Fix 03 Verify and activate the NinjaTrader license key Apex-specific

Without an active license key, NinjaTrader can appear connected but will not stream live data from Apex Rithmic accounts.

  1. Log into your Apex member dashboard.
  2. Locate the NinjaTrader license key in your account details.
  3. In NinjaTrader, go to Help > License Management.
  4. Enter the license key exactly as shown in your Apex dashboard.
  5. Confirm the license shows as active.
  6. Restart NinjaTrader and reconnect.
Fix 04 Remove and reconfigure the Rithmic connection from scratch If Fix 01 did not work

If clearing the cache did not resolve the yellow connection, a full removal and reconfiguration eliminates corrupted session data that cache clearing alone cannot fix.

  1. In NinjaTrader, go to Connections > Configure.
  2. Select the Rithmic connection and click Remove.
  3. Close NinjaTrader.
  4. Clear the cache folder as described in Fix 01.
  5. Restart NinjaTrader.
  6. Go to Connections > Configure > Add.
  7. Select Rithmic as the provider.
  8. Enter your Apex Rithmic username, password, and confirm the correct server.
  9. Save and connect.
Section 04 · Tradovate

Tradovate connection fixes: step by step.

If your Apex account is on Tradovate, the connection path through NinjaTrader uses a browser-based authentication flow. The most common failure mode is authentication token expiry.

Fix 01 Re-authenticate the Tradovate connection Try first

Tradovate authentication tokens expire periodically. A failed or yellow Tradovate connection in NinjaTrader is often simply a lapsed token, not a configuration problem.

  1. In NinjaTrader, go to Connections > Configure.
  2. Select the Tradovate connection and click Disconnect.
  3. Click Connect again.
  4. Complete the browser-based authentication window that appears with your Tradovate credentials.
  5. Confirm the connection status turns green.
If you recently changed your Tradovate password, all existing tokens are invalidated. Re-authentication is required every time the password changes.
Fix 02 Confirm Tradovate credentials are your trading login, not your Apex dashboard login Apex-specific

Tradovate credentials for NinjaTrader are your Tradovate account login, which Apex provisions separately from your Apex member dashboard login. These are two different accounts on two different platforms.

  1. Log into your Apex member dashboard.
  2. Locate the Tradovate account credentials for the specific account you are connecting.
  3. Confirm you are using these credentials in NinjaTrader, not your Apex email and password.
Fix 03 Clear NinjaTrader cache and remove the Tradovate connection If re-auth did not work
  1. Remove the Tradovate connection in NinjaTrader.
  2. Close NinjaTrader completely.
  3. Delete the cache folder at:
Documents > NinjaTrader 8 > db > cache
  1. Restart NinjaTrader.
  2. Re-add the Tradovate connection and complete authentication.
Section 05 · Error decoder

Error message decoder: exact text, exact fix.

If NinjaTrader is displaying a specific error message, find the exact text below for the corresponding Apex-specific fix.

Login Failed
Cause: Wrong credentials or wrong account type. Fix: Retrieve your Rithmic or Tradovate credentials from the Apex dashboard for the specific account (evaluation or PA) you are connecting. Do not use your Apex dashboard email and password.
Connection status: Connecting (never completes)
Cause: Firewall blocking NinjaTrader, VPN interference, or expired license key. Fix: Temporarily disable VPN and antivirus. Verify the NinjaTrader license key is active in Help > License Management. If on a corporate network, test on a home connection.
No accounts found / Account not appearing
Cause: Account auto-disabled after 8+ days in failed state, or credentials belong to a different account type. Fix: Log into Apex dashboard and check all account statuses. Reset any disabled accounts through the member portal, then reconnect.
Market data not loading / No quotes
Cause: Yellow connection state. Data feed connected but not streaming. Fix: Clear cache (Documents > NinjaTrader 8 > db > cache), remove and re-add the connection. Also verify the NinjaTrader license key is active.
Invalid credentials / Authentication error
Cause: Password recently changed, or credentials copied with trailing spaces. Fix: Retrieve fresh credentials from Apex dashboard. Type credentials manually rather than copy-pasting to avoid hidden space characters.
Server not available / Cannot reach server
Cause: Apex or Rithmic server maintenance, or VPN routing issue. Fix: Check the Apex status page before troubleshooting your setup. If a server issue is confirmed, wait for resolution. No local fix will work during a server outage.
Section 06 · Server side

When the problem is on Apex's side, not yours.

Not every NinjaTrader connection failure is a local configuration problem. Apex and Rithmic both run scheduled maintenance windows, and unscheduled outages do occur. If you have worked through the fixes above and the connection still fails, verify whether Apex is currently experiencing a platform-wide issue.

How to check Apex server status

Go to the Apex status page directly: apextraderfunding.com/help-center/helpful-items/status-updates/

Apex announces server maintenance on this page and via their official X account. If a status incident is listed that matches your timeframe, the fix is to wait for resolution. No local troubleshooting will restore connectivity during a confirmed server outage.

Rithmic also maintains its own status updates. If Apex's page shows no issues but you still cannot connect, check whether Rithmic itself is experiencing connectivity problems. Apex uses Rithmic's infrastructure, so Rithmic outages affect Apex NinjaTrader connections even when Apex's own systems are operational.

If multiple traders report the same issue simultaneously in the Apex Discord or r/ApexTraderFunding subreddit, it is almost certainly a server-side problem. Community channels surface server issues faster than official status pages. Checking these before running through local fixes can save significant time.

Section 07 · Honest read

Three things worth knowing before contacting support.

The honest read

Apex support cannot fix a NinjaTrader configuration problem on your machine

Apex support operates via helpdesk ticket only, with no phone line and typical response times of several hours. If the problem is a local configuration issue (wrong credentials, cache corruption, firewall blocking), only you can fix it. Submit a ticket only after you have confirmed the problem is not local. Include your account number, the exact error message text, and a screenshot of the connection status. Vague tickets produce slow responses.

Platform choice on Apex is permanent after purchase

If you purchased a Tradovate evaluation and are trying to connect via Rithmic, the connection will fail because you do not have a Rithmic account provisioned. Apex does not allow platform switching after purchase. Your NinjaTrader connection must match the platform associated with your specific account. Verify which platform your account uses in the Apex dashboard before troubleshooting the connection type.

A failed evaluation does not mean a broken connection

If your evaluation has been breached (drawdown violated), the account enters a failed state. After 8 consecutive days in that state, the connection is auto-disabled. If you notice your connection stopped working but cannot identify a technical cause, check whether your evaluation was recently breached. The fix is to reset the account through the Apex member portal, not to troubleshoot NinjaTrader.

Section 08 · Platform notes

WealthCharts and Android: two platform questions answered.

WealthCharts on NinjaTrader

WealthCharts is one of Apex's native platforms but it does not connect through NinjaTrader. WealthCharts is a standalone browser-based and desktop platform built exclusively around the Apex account structure. If your Apex account is on WealthCharts, you cannot use NinjaTrader with it. NinjaTrader connects only to Rithmic and Tradovate accounts on Apex. If you want NinjaTrader access, your evaluation must have been purchased with Rithmic selected at checkout. Platform choice is permanent after purchase.

NinjaTrader on Android

NinjaTrader does not have an Android application. Apex does not support NinjaTrader on Android devices. If you need a mobile trading option on Apex, Tradovate has a native mobile app available on iOS and Android that connects to your Apex Tradovate account. WealthCharts is also browser-compatible and accessible on mobile. NinjaTrader is a Windows desktop platform only.

Section 09 · Prevention

Preventing connection failures before they happen.

The fixes above restore a broken connection. These habits prevent the most common failures from occurring in the first place.

01
Store your trading credentials separately from your dashboard login. Keep your Rithmic or Tradovate username and password in a password manager. The most common connection failure is simply not having the right credentials to hand when NinjaTrader asks for them.
02
Keep NinjaTrader updated. Outdated versions can lose compatibility with Rithmic and Tradovate server updates. Check for updates via Help > Check for Updates at least once per month.
03
Monitor your Apex account status weekly. An evaluation in a failed state for 8 days auto-disables the NinjaTrader connection. Checking account status once a week in the Apex dashboard prevents this from happening mid-session without warning.
04
Whitelist NinjaTrader in your antivirus and firewall. Security software updates can silently add NinjaTrader to a blocked list. Add NinjaTrader as a permanent exception rather than temporarily disabling protection each time.
05
Clear the NinjaTrader cache as routine maintenance. The cache folder accumulates session data that can corrupt over time. Clearing it monthly takes 30 seconds and prevents the yellow connection issue that forces most traders to search for this guide in the first place.
Also asked · Related questions

What traders also ask.

A yellow connection means NinjaTrader has connected to the platform but the data feed is not streaming. The most common Apex-specific cause is cache corruption. Fix: remove the connection, close NinjaTrader, delete the cache folder at Documents > NinjaTrader 8 > db > cache then restart and re-add the connection. If this does not resolve it, verify your NinjaTrader license key is active in Help > License Management.
You use your Rithmic or Tradovate trading credentials, not your Apex member dashboard login. These are different accounts. Find your trading credentials inside the Apex member dashboard under the details section for the specific account (evaluation or PA) you are connecting. Each account has its own separate username and password. Do not use your Apex email address or dashboard password in NinjaTrader.
Your NinjaTrader license key is in your Apex member dashboard under your account details. Apex provides a free NinjaTrader license as part of every evaluation purchase. Once you have the key, activate it inside NinjaTrader at Help > License Management. Without an active license, the connection may appear yellow even when credentials are correct.
Login failed on Apex in NinjaTrader almost always means one of three things: you are using the wrong credentials (dashboard login instead of Rithmic or Tradovate trading credentials), your account has been auto-disabled after 8 or more days in a failed state, or you are connecting with evaluation credentials to a PA account or vice versa. Check each of these in your Apex dashboard before running other fixes.
Remove the connection in NinjaTrader, then close NinjaTrader completely. Open Windows Explorer and navigate to Documents > NinjaTrader 8 > db > cache and delete the cache subfolder. Do not delete other folders in the db directory. Restart NinjaTrader and re-add the connection. This is the first fix Apex recommends in their own help center.
No. Platform choice on Apex is permanent after purchase. If you purchased a Tradovate evaluation, your account is provisioned on Tradovate only. Attempting to connect it via Rithmic in NinjaTrader will fail because no Rithmic account exists for that evaluation. If you want a Rithmic account, you need to purchase a new evaluation with Rithmic selected at checkout.
Check the Apex status page at apextraderfunding.com/help-center/helpful-items/status-updates/ and the r/ApexTraderFunding subreddit. Community channels typically surface server issues within minutes. If multiple traders report the same connection problem at the same time, the issue is server-side. Apex also posts updates on their official X account.
After passing your evaluation and paying the activation fee, Apex provisions a new Performance Account with separate credentials. Your PA has different login details from your evaluation account. Log into your Apex dashboard, locate the PA credentials, remove your old evaluation connection in NinjaTrader, and add a new connection using the PA credentials. Full detail on the activation process is in the Apex activation fee article.

A broken NinjaTrader connection during a live session is one of the few genuinely uncontrollable risks in funded trading. Keeping your credentials stored, your cache clear, and your account status monitored reduces the chance of it happening at the worst possible moment.
